If invalid odometer readings were submitted for vehicles in your fleet, you may receive an exception report. The report outlines the transaction dates, supplier names, locations, transaction odometer readings entered, the last odometer reading recorded and the date of the recording, the odometer reading variance, the days since the last valid odometer reading.

The odometer reading is the figure on a vehicle that indicates the total distance the vehicle has travelled.

Some possible causes for an invalid odometer reading are

  • No odometer reading was entered at the point of sale. (NB: It is your responsibility to insist that a correct reading is entered to ensure accurate fleet reporting.
  • The cashier at the petrol station may have accidentally entered the incorrect reading.
  • You may have made an error when recording the correct reading.

Actions to take

  • Please enter the correct odometer reading each time you refuel.
  • Write down or take a picture of your odometer reading before you refuel.
  • If you are not refuelling the vehicle yourself, please ensure that the correct odometer reading is provided by the person who is refuelling the vehicle (the same should apply if someone else is paying the for fuel using the vehicle fuel card.
  • Provide the exact odometer reading shown on the display without rounding.
